Planning a multi-day wedding: timeline tips from a Toronto photographer

Mehndi, sangeet, haldi, ceremony, reception, church service and family brunch — how to plan photo and video coverage across a multi-day GTA wedding without exhausting everyone.

More and more GTA weddings span several days. South Asian celebrations might include a mehndi, sangeet, haldi, ceremony and reception. Blended families might have a church ceremony one day and a cultural celebration the next. Destination-style weekends add a welcome dinner and farewell brunch.

Multi-day weddings are joyful, but they're also a marathon. Here's how to plan coverage so you get a complete, consistent story — without overspending or exhausting everyone.

Start with a master schedule

Before you talk to any photographer, put every event in one document:

  • Event name and date
  • Start and end times
  • Venue address
  • Approximate guest count
  • The moments that matter most at each event

This becomes the foundation for your quote and for everyone's planning. When you book with us, it goes straight into your timeline and your Heirloom Wedding Website schedule so your guests always know where to be.

How much coverage does each event need?

These are typical guidelines from the weddings we photograph in the GTA:

  • Mehndi or henna night: 2–3 hours. Detail shots of the henna, family, music and dancing.
  • Haldi or pithi: 1–2 hours. Usually morning or midday, colourful and fast-moving.
  • Sangeet or welcome party: 3–4 hours. Performances, speeches and dancing.
  • Church ceremony or religious ceremony: 1–4 hours depending on the tradition. Hindu ceremonies with many rituals can run several hours.
  • Reception: 4–6 hours. Grand entrance, speeches, first dance, cake and open dancing.
  • Brunch or farewell: 1–2 hours, optional.

You don't need the same coverage everywhere. Many couples choose photography only for smaller events and photo + film for the main ceremony and reception.

Keep one team for the whole story

The single biggest improvement you can make is keeping the same lead photographer and cinematographer across every event. Consistent colour, style and editing mean your gallery and film feel like one story rather than three different vendors stitched together. It also means your team learns your family's faces — by the reception, we know exactly which aunt to look for.

Plan travel between venues

GTA traffic can turn a 25-minute drive into an hour. When events happen on the same day:

  • Allow at least 60–90 minutes between venues in different cities.
  • Plan portraits near the first venue instead of rushing at the second.
  • Make sure your team has parking information at each venue.

Don't forget rest

Multi-day weddings are tiring for everyone — including the couple. Build in breaks:

  • Avoid back-to-back late nights before your main ceremony.
  • Schedule portraits early in the day when everyone is fresh.
  • Give your photographers and vendors a meal break on long days; it keeps everyone at their best.

Family photos across many events

Large families mean long family-photo lists. Spread them out:

  • Mehndi or sangeet: casual groups with cousins and friends.
  • Ceremony: immediate family and grandparents.
  • Reception: extended family tables or big group photos.

Appoint one family member at each event who knows everyone and can gather people quickly.

Blending traditions

Many couples we photograph combine a church ceremony with a cultural celebration. Share the order of service for each event and tell us which rituals matter most to your families. We'll plan our positions to respect each tradition while capturing every important moment.

Delivering a multi-day wedding

With several events, your gallery can easily include over a thousand images. We organise galleries into sets for each event — mehndi, sangeet, ceremony, reception — so it's easy to share the right photos with the right people. Guests can save their favourites straight to their phones, and you can download everything at full resolution on a computer.

A simple multi-day checklist

  • Write a master schedule with every event
  • Decide photo-only vs photo + film for each event
  • Book one consistent team
  • Plan travel time between venues
  • Create family-photo lists for each event
  • Share the schedule with guests on your wedding website
